| President |
| The President shall serve as Chief Executive Officer of Wappinger United Soccer Club, Inc., preside over all meetings; call special meetings of the Board of Directors as needed; assist each officer in the performance of their duty; supervise sponsor relations, auxiliary and special events, public relations, fund raising, long-term planning and acquisitions and other administrative matters; delegate powers to other parties as needed; approve all day to day operating expenses and invoices against Wappinger United Soccer Club, Inc.; be an ex officio member of all committees with approval of the Board; cast the deciding vote in the event of a tie; take any actions necessary to assure that the goals and objectives of Wappinger United Soccer Club, Inc. are met. |
| Vice President/Director of Operations |
| The Vice President/Director of Operations shall serve as President in the event of the latter's absence, incapacity, resignation, suspension, removal or death. The Vice President shall provide for the operational needs of Wappinger United Soccer Club, Inc. in matters related to fields, in the absence of a Fields Director, including field preparation, field maintenance, field improvements, field related equipment, equipment storage and security; coordinate acquisition, distribution, and control of match related equipment including balls, ball bags, nets, corner flags, etc.; supervise field utilization including practice and intramural/travel game schedules among the various age divisions; coordinate playing rules; coordinate the distribution of player uniforms; in the absence of an Intramural Director, coordinate the game schedule for the intramural program across the various age groups; administer and coordinate any special program authorized by Wappinger United Soccer Club, Inc. Board of Directors. |
| Registrar |
| The Registrar shall register all players, both intramural and travel; collect all registration fees and transfer them to the Treasurer; transmit all necessary paperwork, forms, birth certificates, pictures, etc. on behalf of Wappinger United Soccer Club, Inc. as requested by the league, state association, and national association; chair the registration and insurance committees; handle and coordinate player transfers and transfer requests; coordinate refund requests; coordinate distribution of liability insurance certificates; coordinate matters relating to liability and accident insurance claims; make recommendations to the President on matters relating to registration assistance requests. |
| Treasurer |
| The Treasurer shall keep records for the receipt and disbursement of all monies and securities of Wappinger United Soccer Club, Inc.; collect and deposit all funds resulting from registration sessions, tournaments, fund-raising; photo sessions, etc.; prepare and present financial statements at Board of Directors meetings, including line-item details showing the year to date historical and current historical; prepare and present a line item budget for the following fiscal year; and prepare Federal Form 990 at the end of each fiscal year. The Wappinger United Soccer Club, Inc. financial statements, prepared by the Treasurer, will be made available to any member upon request. |
| Secretary |
| The Secretary shall give notice of all meetings to all members of the Board of Directors and shall transmit prior meeting minutes to all Board members at least one week prior to the next regularly scheduled meeting; record minutes of all Board of Directors meetings and cause them to be recorded in both hard copy format (binder form) and soft copy format (computer file); coordinate the creation and distribution of a quarterly newsletter; prepare and update an Annual Calendar to be distributed at each Annual Meeting; regular monitoring of Club post office box prior to each regularly scheduled meeting; conduct all correspondence not otherwise specifically delegated in conjunction with Board of Directors' meetings. |
| Intramural Director |
| The Intramural Director shall coordinate field utilization regarding practice and intramural game schedules among the various age divisions in conjunction with the Travel Director(s); ensure the objectives of the Intramural program are met by supervising the activities of the Division Directors, who will in turn report to the Intramural Director; regularly meet with and communicate with all the Division Directors; plan and encourage the training of all intramural coaches in conjunction with the Head Coach; communicate weekly with the Referee Coordinator regarding needs for the intramural game schedule; serve as the contact person for neighboring clubs regarding inter-town intramural play. |
| Travel Director(s) |
| The Travel Director(s) shall coordinate the activities of all Wappinger United Soccer Club, Inc. travel teams with one Director responsible for the girls program and one Director responsible for the boys program. In the event two Directors are not possible, one Travel Director will be responsible for both programs; regularly meet and communicate with their respective travel coaches in ensure the objectives of the travel program are met; develop and coordinate practice and home game schedules in conjunction with the Intramural Director regarding field utilization; communicate with the Referee Coordinator regarding weekly needs; plan and encourage the training and certification of all travel coaches in conjunction with the Head Coach; represent Wappinger United Soccer Club, Inc. to its respective league, and submit to the Board of Directors, a report or summary of the meetings of said league; review, recommend, and coordinate all tournament notices, announcements, applications, entries and related travel; coordinate all Wappinger United Soccer Club, Inc. national and international travel; coordinate and participate in all travel team tryouts and evaluations; coordinate and participate in all Wappinger United Soccer Club, Inc. sponsored tournaments; coordinate indoor soccer facilities for all travel teams; otherwise represent Wappinger United Soccer Club, Inc. in travel team related matters in such a manner as to assure the orderly growth of travel teams in accordance with the goals and objectives of Wappinger United Soccer Club, Inc. |
| Division Directors |
| Division Directors shall coordinate, staff, and administer their intramural age group activities and report to the Intramural Director; create and balance the makeup and mix (age and skill) of their teams based on the number of registrations each year; secure coaches and coordinate their equipment, uniforms and practice field requirements each season; prepare and distribute their division game schedule; regularly meet and communicate with, supervise, and evaluate their division's coaches; in conjunction with their coaches, evaluate their players and maintain a current and active listing of players in their division; evaluate, identify and rank all players in their division and provide that listing as needed, to the Intramural Director; coordinate and administer cancellations, make-ups, and play-offs; in conjunction with the Intramural and Travel Directors, provide information to all interested and age appropriate players regarding the Club's travel program including annual try-out schedules; assist in the formulation, adaptation and revision of curriculum plans for their divisions; and otherwise supervise the activities of their division so as to assure progress towards meeting the objectives, purposes, goals, intentions and plans of Wappinger United Soccer Club, Inc. |
| Fields Director |
| The Fields Director shall provide for the operational needs of the Club in matters relating to fields including field preparation, maintenance and improvements, field related equipment, equipment storage and security. |
| Head Coach |
| The Head Coach shall ensure that the WUSC travel and intramural coaches coach according to the philosophy, goals and objectives set for in the WUSC By-laws. The Head Coach will provide all coaches with a handbook at the beginning of each fall season, schedule periodic coaching clinics and training, maintain a professional library of the most current books and videos, and be available to all coaches to assist with particular coaching issues that may arise. The Head Coach shall notify all coaches of licensing courses, and present and future requirements needed to coach youth soccer within the provisions of USYSA, EHYSL and WUSC guidelines. As needed, the Head Coach shall chair a disciplinary committee that will deal with coaches who violate the above organizations’ rules and regulations. |
